Regional Tournament Updates

Communique 5 (2/26/20)
Dear Coaches,

Here are the final reminders as we approach our upcoming tournament:

Updated Schedule:
Please note that the latest version of the schedule is v3:

Below is a summary of the changes from v2:
- Designer Genes C moved from SC-S411 to SC-S143
- Experimental Design B moved from SC-N212 to SC-S421
- Experimental Design C moved from SC-S421 to SC-N212
- Machines B/C moved from SC-N306/307 to SC-N246/247
- Ping Pong Parachute moved from VB-124 to the Lawn between VB and SC

Northern California Rules:
Please remember the following two rules unique to Northern California Science Olympiad Tournaments:
- Events with Device Test & Written Test: If a team does not bring a device to test that resembles the device as detailed in the National event rules, then the team will be placed in tier 2. 
- All Events Allowing Notes: If a team chooses to use two sheets of paper for notes in place of one sheet of paper, then the two sheets MUST be laminated so they cannot be pulled apart.

Ping Pong Parachute B/C
Based on feedback from invitationals the past few weeks, we have learned that the performance of Ping Pong Parachute depends heavily on the weather condition and is not a good reflection of the actual performance of the device. Because of such, we will be running Ping Pong Parachute B/C as medal only events.
In addition, please note that NorCal Science Olympiad Tournament will be using the set of modified rules for Ping Pong Parachute. Below is a short summary of the changes
- This event will run outdoors
- The maximum pressure that will be used is 60 psi
- Tier 3 has been removed
- Timing will stop if any part of a rocket or parachute payload system hits a building, tree, any obstacle or is no longer in sight

Food availability:
There will be various food options on Saturday:
Dining Commons: Brunch 10:30 AM - 8:00 PM
P.O.D. at Old Union: 10:30 AM - 5:00 PM
Starbucks in the Library: 10:30 AM - 5:00 PM

Parking and Check-In:
When you arrive on campus on Saturday, please park in Lots G or H, which are both free. Head coaches should check in between 7:15 AM - 8:15 AM in  SC-N125
There is a Coaches meeting from 7:45 AM to 8:15 AM in N120

At Head Coaches Check In, each head coach should turn in the following forms in an envelope:
2020 Team List (signed by the coach and principal)
2020 CSUEB Consent form (required only for students (regardless of if they are younger than 18 or not). 
After you’ve checked in, you’ll receive 15 wristbands. Please make sure your students write their team number and school name on there and that the wristband is on tight enough so it is not possible to slip off.

Please direct your team and parents to the link. In order to cut back on the amount of printed material, we will not have a stack of extra maps and schedule at check in. Please ask your team to print only what is needed.

Home Bases:
During the day of the tournament, teams may set up home bases, but must adhere to the following:
- Each team may bring up to ONE 10’ by 10’ pop-up canopy.
- Generally, interior campus roads 20 feet or wider are fire lanes. No set up shall block interior campus roads that reduce its width to less than 20 ft. or 26 ft. in front of buildings.
- No tents/set ups on the lawn areas between Valley Business and Technology Center and the Science Building since this is where Ping Pong Parachute will take place.
- No tents/set ups around the lawns and areas surrounding the Meiklejohn building (ML)
- No tents/set ups in the FM/Corporation Yard Area.
- No stakes set into the lawn because of underground irrigation systems.
- No outdoor cooking/BBQ
- All tents shall be at a minimum of 20 ft. from a building and 20 ft. away from the full width of entry or exit doors around the exterior of the building.
Please make sure that teams are not to be inside the halls except when scheduled for an event. If you arrive early, please try to limit the space you use so others can set up there too.

Impound and Event Locations:
As a reminder, impound for the various events is where the event takes place later in the day.
The rooms which start with N or S (e.g. N346) are all located in the Science Building. They correspond to the Science Building – North and Science Building – South on the map.
Lower gym is in Building PE – Physical Education and Gym

Reminders for your students:
Make sure your students have pencils and pens. More than one. Unless the rules states otherwise, the event supervisors are not going to provide writing implements.
We sometimes see student response sheets that had no team number on the paper. The students worked very hard and got no credit for their effort - they ended up with a zero in that event. Please make sure your students know their team number! 

Help parents find you:
A common problem is that parents come to the registration area, asking where you are. We, of course, have no idea and cannot help them. They are frustrated. As in prior communications, we suggest that you publish a cell phone number so that they can track you down when you arrive. 

Awards Ceremony:
We expect awards to start at 4:30 PM.

Concerns with an event:
On the day of the event, call (818) 570-0333 for quick procedural issues (Event Supervisor missing, Event Supervisor asking for student ID, Event Supervisors not allowing certain items that should be allowed, etc.). In general, call this number to get something fixed quickly (not to appeal).

Preliminary Scores:
As in the past, the preliminary scores will be available immediately after the Awards Ceremony is over. Head Coaches have 20 min after the Awards Ceremony to let me know if there are any issues. As a reminder, this period is only for tabulation questions (e.g. your team received a no show when your team was there). Head coaches can see the scoreboard after the awards ceremony by logging in to the regional web page.

Forms:
The release form is now available. The Head Coach should turn 1 envelope for each team with the following forms :

Parent Volunteer Assignments:

Teams must have 1 adult volunteer present for the entire duration listed for the given event. Coaches can either ask 1 parent volunteer to complete it or 2 parent volunteers to split up the 2 hours. Please make sure to let your parent volunteers know when and where they need to be on the day of the event. There are no cards or papers to sign. Parent Volunteers should report directly to the assignment (not check in table), they need to let the event supervisor(s) know which school they're representing and that they're a parent volunteer. If you have any questions regarding your assignment, please let us know.

Do Not Distribute The Hosting Venue Prior to Tournament:
We’re grateful that CSUEB is hosting our tournament. I would like to remind you that teams are not to practice on campus prior to the tournament. If you have any requests for the host, these requests must go through me.

Communique 2 (12/23/19)

Happy Holidays Coaches! I have some great news to share with you!

Earlier this year, I shared with you the ambitious goal of having Science Olympiad alumni run the 2020 Bay Area Regional events so that you can focus on your students and the team. Today, I’m excited to share that we will be able to do that. We currently have enough alumni to run all 46 events but it’s a very lean crew so if you have alumni interested in helping out, please ask them to contact me.

The only thing we ask each team to do is to provide 1 parent volunteer for about 2 hours on tournament day to help us with some of the events that need extra traffic control, timing, etc. This individual does not need to be familiar with the event nor prep for the event; instructions will be provided by the Event Supervisor on the day of the event.

Coaches Meeting: Because teams will no longer be responsible for the events, we will also skip the online coaches meetings. If you have any questions at any point regarding the tournament, please don’t hesitate to contact me. 

Self-Scheduled Events: Self-scheduled event sign up is from 5 PM, Wed, Jan 29 to 5 PM, Wed, Feb 12. With the exception of Sounds of Music C and Detector Building C, teams from the same school can sign up for different time slots.

. If your school has multiple teams, please email me to let me know the team name for each team.

Forms and Documents: Attached is the team roster that will require your Principal’s signature. The waivers and general releases required for each team members will be available in January. None of these are due until the morning of the tournament at check in.

Rules Clarifications: You can submit any rules clarification questions using the web page. The National Clarifications and FAQs will be uploaded into this system over the next couple of weeks to provide a centralized location for you and your students to see all the rules clarifications we will be observing for Bay Area Regional Science Olympiad.
